2026 Contractor Payment Operations Benchmark
Kelvaro is developing a transparent benchmark of how contractor-heavy businesses actually manage onboarding, payment approvals, payout timing, documentation, exceptions, and reconciliation. This page describes the research design before any headline statistics are published.

No benchmark results are published yet
Kelvaro will not turn a thin convenience sample into an “industry average.” A public report is gated by the sample, privacy, questionnaire-version, and methodology rules below. Until those gates are met, this page is a research protocol and recruitment page rather than a results page.
Who the research is for
The study focuses on organizations that repeatedly work with independent contractors or rotating crews. Participation does not require using Kelvaro.

What the survey measures
Questions use ranges and operating categories wherever practical. The goal is to understand process friction without collecting the sensitive contractor, banking, or tax information needed to run a payment system.
- Typical contractor and crew volume
- Current payment and reconciliation workflow
- Time spent preparing and reconciling contractor payouts
- Approval-to-payment timing
- Frequency of missing W-9/W-8 or other onboarding documentation
- International contractor-payment mix and operating friction
- Payment exceptions, follow-up, and reconciliation pain
- Primary tools used today, including spreadsheets and accounting/payment systems
Publication and privacy gates
- No public benchmark report before at least 100 completed, usable survey responses are available.
- No segmented statistic will be reported from fewer than 30 usable responses in that segment.
- No company name, respondent name, email address, contractor identity, bank data, tax identifier, or payment account information belongs in the research dataset.
- Results will be described as a self-selected survey sample unless the sampling method supports a stronger population claim.
- Percentages will include the usable denominator and reporting window; missing answers will not silently become negative responses.
- Any material questionnaire change will create a new survey version so incompatible waves are not blended without disclosure.
- Kelvaro product telemetry and external survey responses will remain separate evidence sources with separate methodology disclosures.
Planned reporting
If the publication gate is met, the report may cover measures such as payment-preparation effort, reconciliation effort, approval-to-payment timing, documentation gaps, international-payment mix, and the share of respondents relying on spreadsheets or disconnected systems. The final report will state the exact survey dates, usable sample size, question wording, exclusions, segment denominators, and limitations alongside the findings.
